BY-LAWS

By-Laws Of The St. John-Bevis Athletic Association

  1. St. John-Bevis Athletic Association, hereinafter referred to as the Association, is a nonprofit, nondenominational society organized for the purpose of helping the youth of the St. John-Bevis are in athletic endeavors through leadership, good example, sportsmanship, coaching and various materials and services.
  2. Membership is open to any person who is eighteen (18) years of age or older. To be a member in good standing he or she must meet the following requirement:
    1. Attend at least one meeting per quarter. (Quarter is defined as calendar quarters.)
  3. To have voting privileges, a member must:
    1. Be a member in good standing.
    2. Or maintain attendance at two consecutive meetings with voting privilege granted on the third consecutive meeting, and continued voting privilege by attending at least one meeting per quarter.
  4. At the September meeting a nominating committee consisting of three (3) members (in good standing) will be appointed to search for nominees for the various Association offices for the next elected term.

    At the October meeting nominees shall be named by the nominating committee. Additional nominees may be named form the floor by any member in good standing. No second is required. After the nominations are submitted at the October meeting, an election shall be held at the November meeting. Pastor of St. John's will serve as Chaplin. (Only one officer per immediate family)

    Offices and Board Members:

    1. President
    2. Vice-president
    3. Treasurer
    4. Secretary
    5. Three (3) Trustees
    6. Three (3) District Representatives

    Each office is elected to a two year term, with the President, Vice-president, one Trustee and one District Representative being elected on the odd number years. The offices of Treasurer, Secretary, and the two remaining Trustees, and District Representatives being elected on the even numbered years. No person can succeed themselves in an office.

    Duties of the officers shall be as follows:

    1. President: Presides over the monthly meetings. (Votes only in case of ties). Appoints a commissioner of each of the following sports at the January meeting:
      1. Baseball and Boys Softball
      2. Girls Softball
      3. Soccer
      4. Basketball

      The commissioners shall have the authority to supervise and control their appointed sport. They shall become a member of the board in any situation regarding that sport.

    2. Vice-president: Is Parliamentarian. Acts as President in the President's absence.
    3. Treasurer: Keeps and maintains the financial records of the Association. Reports and publishes the monthly financial transactions to the membership at each monthly meeting.
    4. Secretary: Records the minutes of the meetings. The Secretary is responsible for all the Associations correspondence. Provide an attendance sign-in ledger at each meeting and records the total number of members present in the minutes of that meeting.
    5. Trustees: Perform and publish an annual audit of the financial records. Perform a semiannual inventory report (February 1 and August 1) of the concession stand supplies. Review the previous years minutes and update any necessary changes to the By-Laws at the October meeting. The Trustees shall appoint at each January meeting:
      1. An Equipment Manager to supervise the control and purchase, by receipt, of the athletic equipment fir baseball, softball, soccer, and basketball. The Equipment Manager shall have the authority to purchase required supplies within the constraints of the annual equipment approved budget.
      2. A Concession Stand Manager to supervise the control and purchase, by receipt, of supplies for the concession stand. The Concession Stand Manager shall have the authority to purchase required supplies within the constraints of the Concession Stand approved budget.
    6. District Representatives: Represents the Association at all Northwest Board and S.A.Y. Soccer Board meetings and reports all Board meeting activities to the Association at each monthly meeting.

      The Association Board shall convene at the request of any three (3) board members or the President, a quorum is required for any vote. It is the responsibility of the Board to prepare and submit to the Association an annual budget covering equipment, concession stand, and all other general expenditures.

  5. Regular monthly meetings to conduct business of the Association shall be held on the third Tuesday of each month.

    At any monthly meting, a simple majority of the voting members present shall carry any voting matter with the following exceptions:

    1. The presiding officer shall have the prerogative to table any matter until the next meeting if, in his/her judgment, it is in the best interest of the Association. Matters tabled for this reason must be acted upon at the next meeting.
    2. The By-Laws as adopted, cannot be amended or altered except by a two-thirds (2/3) vote of the members.
  6. The order of the meeting shall be as follows:
    1. Invocation or nondenominational prayer (Our Father).
    2. Reading of the minutes of the previous meeting and their approval, and attendance taken.
    3. Reading, in detail, and approval of the Treasurer's Report.
    4. Reading of the District Representative's Report.
    5. Reading of any committee reports.
    6. Special Orders or Requests.
    7. Unfinished or old Business.
    8. New Business.
    9. Adjournment.
  7. Any ordinary rules or by-laws for meetings or associations not covered by the above by-laws shall be governed by Roberts Rules of Order.
  8. An member, coach, manager, or youth and his parent or guardian, sponsored by the Association shall abide by the following rules while representing the Association:

    • Members, Parent or Guardian; Demonstrate good sportsmanship, support the Association activities, volunteer time as needed.
    • Coaches and Managers; Demonstrate good sportsmanship, supervise and instruct the correct procedures of the playing sport. Shall follow the rules of the league, tournament or Association. Treat all youths under his or her supervision fairly in instruction and participation. If a youth is being punished for disciplinary reasons, they must be explained to him or her. It is recommended that all managers and coached become members of the Association, in good standing.
    • Youths; Demonstrates good sportsmanship. Attends practices and games. Excused absences granted by the coaches and managers only. Follow he instruction of the coaches and managers.
    • Any discussion on the above rules of conduct and behavior can be brought before the Board for review.

Proposed Amendment To By-Laws Of St. John's/Bevis Athletic Association Dated August 18, 1983

A motion is hereby made that the following revisions and/or additions are made to the By-Laws.

  1. Section 4-G Association Support

    The Association shall support participation in Northwest Baseball, Softball, and Basketball; S.A.Y. Soccer; Knothole Baseball; and Association instructional leagues in Baseball, Soccer and Basketball.

    Furthermore, it is understood that the players shall be obtained form the legal boundaries of the respective governing organizations under which they play, and the teams shall comply with the rules of such organization.

  2. Section 5, paragraph 1 shall read as follows:

    Regular monthly meetings to conduct business of the Association shall be held on the the third Thursday of each month.

    The first reading of these amendments and/or revisions was read June 15, 1989 and shall be repeated in July, and August for ratification at the September 1989 meeting.
